Describe the symptom without choosing the repair
Tell each provider which indoor units are affected, the model if known, when the symptom occurs and whether there was previous work. Ask whether the proposed visit is diagnosis or routine servicing. A symptom alone does not establish that a chemical wash, gas top-up or part replacement is needed; request the findings before deciding.
Separate the visit, diagnosis and proposed repair
Ask what is payable if you decline the repair, whether a diagnostic charge is offset and which work is included. For a proposed replacement, request the exact part, new or reconditioned basis, labour and any separate transport or tax treatment. Leave unknown amounts unconfirmed rather than treating them as zero.
Agree how extra work is approved
Request a written revised scope and total before extra work starts. Ask who will attend, who issues the invoice and who receives payment. A brand name, visit booking or XIYA listing does not establish the actual contracting party or confirm a booking.
Keep a repair and follow-up record
Keep the findings, approved quote, replaced-part description and invoice. Ask which symptom the work addresses, what checks are performed afterward and the exact conditions for a return visit. Do not assume that a warranty for one part covers labour, transport or another fault.
Ask what the diagnosis has established
Describe when the fault appears, which units are affected and any recent work you know about. Ask the provider to explain what was checked, which findings are confirmed and which remain uncertain. Request the charge for diagnosis separately from proposed repairs. Agree an approval step before adding parts or work; a symptom description alone is not a confirmed diagnosis.
Keep the repair proposal and unresolved items
Ask for the proposed parts, labour, tests, exclusions and full charges in writing. Clarify which result will be checked at completion and how a return concern is handled. Keep the diagnosis, approved work and unresolved symptoms together so a later visit is not mistaken for a new agreement. An estimated repair time or directory reference is not a promise of resolution.
